Real Estate Team Websites: How to Give Every Agent Their Own Site and Route Leads Fairly

By · · Updated

Real estate team planning together around a table

A real estate team website works best as one brand with many doors: a main team site, a page or site for each agent, one shared IDX feed powering home search everywhere, and lead routing that sends each inquiry to the right agent fast. Done right, agents get their own presence without the team losing control of its brand, its compliance or its leads.

Why every agent should have a site

Buyers and sellers often choose a person before a brokerage. An agent site with their bio, reviews and listings gives them something to share and gives clients a reason to call them directly. With 52% of buyers finding the home they bought online, according to the 2025 NAR Profile of Home Buyers and Sellers, every agent needs somewhere online to send people.

Three ways to set up agent sites

  • Agent pages on the team site (yourteam.com/agents/jane). Simple and great for the team's SEO.
  • Subdomains (jane.yourteam.com). Each agent gets a site of their own while the brand and compliance stay central.
  • The agent's own domain (janesmithhomes.com). Best for established agents with their own following.

Many teams mix these: subdomains by default, and an agent's own domain when they already have one.

One IDX feed, every site

You don't need a separate feed for each agent. Under NAR's IDX policy, displays must be under the participant's control and identify the brokerage, and agents typically display listings under their broker's IDX agreement. A team platform can power home search on every agent site from the brokerage's one feed, show each agent's own listings by their MLS ID, and keep the brokerage name and disclaimers on every page. Confirm your MLS's rules for agent sites before you launch.

Routing leads fairly

Lead routing is where teams win or lose. The common approach is round robin with a claim window:

  1. A new lead comes in from the team site, an ad or a portal.
  2. It's offered to the next agent in the rotation, who gets a text right away.
  3. The agent has a set time, often 5 to 15 minutes, to claim it.
  4. If they don't, it passes to the next agent, and eventually to a shared pond.

Leads from an agent's own site should go straight to that agent. They earned it.

What brokers should be able to see

  • Every lead, who has it, and how fast they responded
  • Each agent's claim rate, response time and deals
  • Leads nobody claimed, so they never go cold
  • Which sources and which agent sites produce business

Pricing for teams

Per-seat pricing gets expensive as a team grows. Ask for team or bundle pricing and what you'll pay as you add agents. Venn's team bundles start at $125 a month for up to five agents and drop per agent as the team grows; see how team bundles work.

Launching agent sites without the headaches

A few decisions up front save weeks of cleanup later:

  • Set the template once. Brand, colors, disclaimers and the brokerage name should come from the team site automatically, so every agent site stays compliant.
  • Collect the basics. A photo, a short bio, a phone number and the agent's MLS ID are enough to launch.
  • Handle DNS once. For subdomains, one wildcard DNS record on the team's domain covers every agent site you'll ever add.
  • Invite agents, don't just add them. Send each agent their sign-in and website link the day they join, so they start sharing it right away.

Common questions

What happens to an agent's site if they leave?

On a subdomain, the team can turn it off. On their own domain, the domain is theirs. Decide your policy up front and put it in writing.

Do agent sites hurt the team's SEO?

Not if they're set up well. Agent pages on the team domain can help it. Avoid copying the same text across every agent site.

How fast should agents respond?

As fast as possible. Short claim windows and instant text alerts make a big difference. See our platform comparison or book a demo.
